Prepare for a successful first business trip by reviewing expense policies, sharing costs, packing light, and giving loved ones your itinerary.
1. Check your company's travel and expense policies.
One of the worst situations that can arise on a business trip is the embarrassment of overspending your budget or not having enough money to pay. Before leaving, find out whether the company covers expenses through a per diem or reimburses actual expenses. A per diem provides a daily allowance for food, travel, and accommodation, multiplied by the number of days on the trip. Actual-expense reimbursement, meanwhile, allows you to pay expenses without a set limit, but you must carefully keep all receipts for the company to review after you return.
2. Share expenses with colleagues.
The best way to minimize travel costs is to split expenses with colleagues. Sharing transportation or meal costs not only saves money but also offers an opportunity to build stronger bonds by spending time and dining together.
3. Pack light.
Pack only the essentials in your suitcase. Prioritize your laptop, documents, pens, and personal items, while firmly leaving out anything unnecessary for the trip. Depending on the nature of your work, using a briefcase rather than a backpack when meeting clients can help you maintain a professional appearance.
4. Tell friends or family about your itinerary.
Before leaving, share your itinerary with family and friends so they do not worry. Especially for a long business trip, let people close to you know in advance so they do not call while you are working or worry unnecessarily.
